      II.2.4) Description of procurement: Norfolk Community Health and Care (NCHC) are seeking offers for the provision of Multifunctioning Devices (MFDs) and associated services.

The object of the procurement exercise is:
To replace NCHC’s aging fleet of MFDs with new technology
To reduce NCHC’s costs of printing, copying and scanning
Minimising the use of toner and other consumables
Provide an optimised service, ensuring reliability and performance
Provide assurance of good information governance and data security as a “designed in” service.

The term Installed Fleet refers to all MFD devices and associated equipment provided across all Trust sites under the management of this contract.

NCHC will adopt a two stage process for contract implementation:

Phase 1
Replacement of current fleet of MFDs. Bidders should advise on the best deployment of MFD resources across NCHC’s 38 sites (including numbers of machines, capacity, and any other functionality). Bidders will be expected to evidence their view on:
The optimum deployment of the number of devices;
The specification of each device; and
The location of each device

Phase 2
Print Reduction Programme – Upon successful implementation of the device roll-out, NCHC intends to embark on a print reduction programme. The Supplier will be expected to work with NCHC to support this programme.
