Description: Software system to Support the Management of Defects and Repairs in New Build Properties. Torus Developments currently has a development programme building 3800 properties over the next 3 years, managing multiple developments concurrently, a proportion of the properties that are built are sold. Torus Developments are interested in receiving information on systems that can deliver all of the following functionality requirements: 1.An integrated solution, providing the tools to manage multiple developments at the same time 2.Contractor portal for defects to be seamlessly to be handed over to contractor 3.Ability for contractor / Torus Developments to update defects including completion and appointment details. 4.Mobile App for Torus Developments staff to access application remotely. 5.Ability to manage up to 2000 plots / homes at any one time 6.Ability for contractors who are not licensed for your software to receive defects and provide feedback updates into the Torus application without Torus Developments having to re-key the information. 7.Ability for contractor updates to automatically interface into application. 8.Ability to agree any costs for a defect / repair upfront. 9.Ability for homeowners to log defects including adding photographs and annotate the photographs to show the defect 10.Ability for defects to be prioritised 11.Ability to Torus Development staff to complete surveys and for these to be uploaded into application including export to pdf functions and ability to include photographs. 12.Ability to identify trends including repair and contractor level 13.Digital document library for residents showing hints and tips 14.Track progress of all defects with the ability to report on defects that are out of time 15.Reporting module with a standard set of reports that can be scheduled and issued automatically (e.g. email) 16.Report writing function to allow Torus Developments to write their own reports 17.Ability to import and export data e.g. new developments 18.Microsoft Office add ins to link documents to developments and tasks 19.If a suite of modules – these should Integrate with each other and pre-populate information between modules to reduce manual input 20.Ability to search on properties within a specified location including post code or site 21.Ability to store all information and link to data from person and property 22.Provide real time information 23.Ability to text customer with information e.g. reminders. 24.Ability to complete a handover onsite with the customer and then pdf the output and issue 25.Ability to capture digital signatures at key stages of the process 26.Ability to complete inspections onsite and for information to be automatically forwarded to contractors as needed. 27.Portfolio of standard documents/letters which can pull through customer details from the application 28.Have the functionality to create customer satisfaction surveys, which are issued by the system or through software such as SNAP and Mailchimp once legal completion is triggered 29.Ability to archive records in line with Torus Developments retention policy and GDPR 30.Ability to automatically update residents on progress of repairs
