II.2.4) Description of procurement: The V&A has a wide programme of learning and public events which take place throughout the day and the evening. The V&A is looking to upgrade and refurbish the AV equipment in its most important public theatres – the Sackler Centre, the Learning Centre, and the Lecture Theatre. The V&A Learning Department has identified that the current AV equipment is not fit for purpose and is inviting suppliers to submit tenders for an upgrade programme worth £350,000.
The AV upgrade will future proof the audio visual quality for the V&A's audiences, whose expectations and numbers are constantly growing –e.g. the ability to conduct live streaming, video conferencing. The V&A is also seeking to procure AV technology that takes into consideration accessibility requirements for the V&A’s visually and hearing impaired audiences.
From an operational perspective it is crucial to the V&A that the newly, to be procured AV technology, will include functionalities to empower its own AV staff to constantly deliver an exceptional service to all its customers at all times. Therefore, functionality such as: real-time monitoring; initial problem discovery; basic trouble shooting; documenting and tracking operational aspects of the AV location environment; device management and proactive device monitoring; conference scheduling; conference management are essential.
Please see II.2.11 below which sets out the scope of the initial purchase and the further options in the contract.
Tenders must not exceed the budget of £350,000. Tenders must be able to supply and install their AV solution for the Museum's Lecture Theatre between the 8th and 18th of August; there is no flexibility with these dates.
This procurement is being conducted using the Open Procedure, and tenderers must therefore meet the minimum requirements as set out in the suitability criteria in order for their tenders to be considered. Please see the Invitation to Tender for more information.
