II.2.4) Description of the procurement: The ICO is seeking provision of vending machine services as follows:
We currently have 3 free-to-vend hot drinks machines provided in the ICO’s head office at Wycliffe House. Another free-to-vend hot drink machine is located in Kings Court. We are seeking to replace these drinks machines and add 2 extra machines in an additional office accommodation near Wycliffe House. Another new premise on Water Lane which is to be acquired shortly and will require 1 free-to-vend hot drinks machine. We therefore anticipate needing 7 new free-to-vend hot drinks machines at the start of the contract, and need the potential to add up to 3 further free-to-vend hot drinks machines during the term of the contract. This would bring the total to 10 free-to-vend hot drinks machines. We require a refill and maintenance service for all of the above machines.
The ICO also require 2 pay-vending snack machine and 2 pay-vending cold drinks vending machines to be based in the Wycliffe House and the additional office accommodation near Wycliffe House. We may also require up to 3 each of the pay-vending snack and cold drinks machines in addition to the initial 2 of each. This would bring the total to 5 each.
For the avoidance of doubt, all vending machines will remain the property of the supplier (or the supplier’s supplier) and title in them will not pass to the commissioner. All consumable products and supplies used for the stocking and refilling of the hot drinks, cold drinks and snack machines shall also remain the property of the supplier.

The estimated total value of the contract of 275 000 GBP is based upon estimated pricing for the contract maximum of 10 free-to-vend machines over the whole 60 months. The initial requirement is for 7 free-to-vend hot drinks machines over 36 months with the possibility to extend for a further 2 12 month periods along with the potential to add up to 3 further free-to-vend hot drinks machines over the life of the contract.
